rchiving and searching
All types of files
You want to save, e.g., a file in
archive 3
.
Enter the address for
archive 3
in Internet
Explorer.
Enter the following line:
dritte IP>>
Enter the user name and password.
Click in the archive on .
A new window will open.
Press to select the document or file
that you want to save to the archive.
By pressing on you will be directed
to the directory on your own computer.
Go to the place where the file is located.
Click on the file that you want to select.
The field will now display the path for your
selected file.
Now enter all of your search terms (each one
separated by a blank space) in the large text
field that you want to be used to retrieve the
file in future.
Upper and lower case letters are ignored. It is also irrelevant whether the words are entered as a proper sentence or mixed
up. Avoid using punctuation marks directly after a word. Finally press .
The document is now saved to archive 3.
Check that the process has worked correctly. Click on Archivio 3 and search for your file using the search terms you just
entered and then click on the relevant line in the results. The file that you just saved should now open. Every file that is
saved to the archive will receive its own, unique and new file name issued by BvLArchivio®.
Files larger than 16 MBytes must be uploaded via FTP (see page 19).

Control characters
must never be wrapped to the next line; control characters must always be written so that the
whole word is on one line.
Search terms
should always be written out as full words. Avoid using invented abbreviations that you would not also
find in a dictionary. If you nevertheless need to use abbreviations, check the results in BvLArchivio® at the introductory
phase.
In any case, the search terms – whether full words or abbreviations – must
always be separated by a blank space
.
Avoid using combined search terms such as
INVOICE4711
, instead it is better to write
INVOICE 4711
.
This will help to reduce the number of errors.
In general, the
text recognition function
(OCR) will initially attempt to recognize every individual character (letters
and numbers). Depending on the clarity of the characters, it will then also attempt to compare them with the dictio-
nary. Therefore, if you use abbreviations that are not present in the dictionary, the text recognition function can only
focus on individual characters.
The
text recognition function
(OCR) only ever processes the image that has been produced by your scanner (TIF,
PDF). Therefore, always ensure that the glass surface on the scanner is clean and that the paper feed functions per-
fectly. If any irregularities should occur on the scanner, this will significantly influence the text recognition function
(OCR). If you purchase a new scanner, for example, check the results again in the archive for a certain period of time.
